Finance Administrator


Job Description

Title: Finance Administrator

Responsible to: Counselling Centre Manager

Work base: Inspire Counselling and Training office, The Fletcher Centre, 2 Crescent Road, Ipswich IP1 2EX


Inspire is a registered charity providing a professional counselling and training service, underpinned by Christian values, that offers help and relief to people in need or distress. Our aim is to empower individuals by enabling change and growth and we believe counselling should be available to all those who need it regardless of their ability to pay.


Objective of the post


To provide effective and efficient administrative services to Inspire thereby enabling it to fulfil the above aims. 


Duties and Responsibilities


Finance

  • Work to support the Counselling Centre Manager, Treasurer and Trustees in maintaining a sustainable financial base for Inspire 
  • Manage the day-to-day financial aspects of the organisation including banking, maintaining the accounts (QuickBooks accounting system) inputting, invoicing and reconciliation
  • Manage all aspects of Inspire’s income, including the receipt, administration and banking of client fees, donations, training income etc.
  • Work with the Counselling Centre Manager and Treasurer to review, develop and comply with effective financial control procedures
  • Maintain records of all funding received and ensure the professional management and allocation of restricted funds 
  • Follow up missed and non-payments
  • Process the payment of salaries in liaison with external payroll managers
  • Process expenses and invoices for employees and subcontracted personnel 
  • Provide relevant qualitative and quantitative financial information as required to enable the Counselling Centre Manager, Treasurer and Trustees to monitor and manage budgets 
  • Co-operate with the Treasurer and Auditors during the annual audit ensuring that all necessary information is provided


Administration 

  • Undertake administrative tasks relating to the provision of Inspire’s counselling and supervision including appointment letters and evaluation forms
  • Provide administrative support for the Counselling Centre Manager and Development Manager and related personnel, as directed by the Counselling Centre


Manager

  • Fulfil reception duties as required including answering incoming calls, welcoming clients and making appointments, ensuring all enquiries receive a positive view of the organisation
  • Efficiently manage general and email correspondence, responding or directing these to the appropriate personnel
  • Comply with organisational, legal and professional requirements regarding the administration of electronic and paper-based records and filing systems including through the new electronic database Charitylog
  • Manage the renewal and retention of insurances, professional memberships, affiliations and other associated administrative functions 
  • Assist in the production of information and literature regarding Inspire
  • Prepare and contribute to reports and documents as required
  • Order office supplies


People Management & Internal Relationships 

  • Oversee the recruitment, induction and training of volunteer receptionists as required
  • Line-manage volunteer receptionists and related personnel, taking responsibility for scheduling rotas



Additional Responsibilities and Requirements

  • To hold the Christian values of Inspire centrally to all activities, working to maintain the ethos, aims and objectives of promoting principles of compassion, equality, love and acceptance
  • To attend regular team meetings and line management meetings
  • Take all steps to ensure the safety and confidentiality of clients, staff and supporters
  • To work flexibly as a member of the team, being prepared to work occasional evenings and weekends if available
  • Carry out any duties appropriate to the role that are necessary for the effective functioning of the organisation
  • Through all aspects of the role seek to maintain good external relationships with our community, clients, suppliers and funders, promoting our work as is incumbent on all those who work for Inspire


Outline terms


  • Hours of work would be 14 hours per week, with the normal working week being within the hours of 08:30 to 17:30 on Tuesdays and 08:30 to 21:30 on Thursdays
  • The hourly rate will be £14 per hour
  • Holiday allowance 12 working days per year, plus days designated as Bank or Public Holidays and any additional days that the company is closed over Christmas and New Year
